Create Your First Job
Create a job and assign it to the right crew member.
Jobs are the core of Person Trail. Each job represents a unit of work at a specific location, assigned to a crew member, with a defined timeline.
Creating a Job
Go to Jobs > New Job to get started. The form has four sections.
Voice Quick-Fill (Starter+)
The fastest way to create a job. Click the microphone button and say everything in one go:
"I need a plumber at 16 Madison Ave, March 6th 4pm to 6pm, ask for Mike the site super, bring a snake and inspection camera, high priority, they need the main line cleared"
The AI parses your voice and fills in: job type, address, date, time, duration, priority, point of contact, materials needed, and description. For multi-phase jobs, describe each trade and schedule:
"Plumber at 25 Colonial Drive March 3rd 9am to 11am, electrician March 5th 1pm to 3pm"
This creates a daisy-chain with per-phase scheduling. Review the auto-filled fields, confirm, and create. The job gets sent to the assigned crew member immediately. Scheduling at the speed of speech.
1. Job Basics
Fill in the core information:
- Property address -- Start typing and select from Google Maps autocomplete (if configured). The address is used for travel-time calculations during auto-assign.
- Client -- Optionally link the job to a client record.
- Job type -- Select the type of work (e.g., Plumbing, Electrical, HVAC).
- Required skills -- Select the skills needed so the right crew member gets matched.
2. Details (Optional)
- Description -- Describe the scope of work. Use AI Suggest to generate a description based on the job type and skills.
- Materials needed -- List any materials the crew member should bring or expect on site.
- Point of contact -- Who should the crew member ask for when they arrive?
3. Scheduling
- Start date and time -- When the work should begin.
- Deadline -- When the work must be finished.
- Estimated duration -- How long the job should take. When phases are enabled, this auto-calculates from phase estimates.
- Priority -- Set to Low, Medium, High, or Urgent.
4. Assignment (Optional)
Choose how to assign the job:
- Manual assignment -- Pick one or more crew members from the list. Crew members are sorted by skill match.
- Suggest best crew member (Pro) -- Click the lightning bolt button to have the 7-factor algorithm pre-select the top-ranked contractor based on skills, availability, distance, workload, performance, ratings, and history.
- Multi-phase chaining (Starter+) -- Toggle on to break the job into sequential phases, each assigned to a different crew member. See Multi-Phase Jobs for details.
Save the job when you're ready.
What Happens After Creation
On the Dashboard
The job appears on the schedule calendar and the Owner dashboard immediately. If real-time updates are enabled, changes appear live without a page refresh.
In the Portal
The assigned crew member sees the job in their portal right away and can start tracking their work.
Plan Limits

Active jobs are any jobs that are not in a Completed status. Once a job is marked complete, it no longer counts toward your limit.
Tips
- Use job templates to pre-fill details for recurring job types (Starter plan and above).
- Set up your skill categories and crew member profiles first so auto-assign has the data it needs to make good matches.
- If Google Maps is not configured, you can still enter addresses manually. Auto-assign will skip travel-time calculations and match on skills and availability only.
- For complex jobs that need multiple trades, enable multi-phase chaining to sequence your crew automatically (Starter+).
