Auto-Assignment

Auto-assignment takes the guesswork out of choosing who to send to a job. When you create or edit a job, click Auto-Assign and Person Trail will recommend the best-fit crew member.

How the Algorithm Works

Person Trail's proprietary multi-factor algorithm evaluates each available crew member and scores them based on several signals, including:

• Skills match -- Does the crew member have the required skills for this job type?
• Availability -- Are they free during the scheduled time window?
• Travel distance -- How far is the job site from their location?
• Performance history -- How have they been rated on past jobs?
• Current workload -- Crew members with too many active jobs are deprioritized to spread work evenly.

The algorithm also considers additional proprietary signals to improve recommendations over time. The crew member with the highest combined score is recommended. You can accept the recommendation or pick a different crew member manually.

Using Auto-Assign

1. Open a job in Pending or Scheduled status
2. Click the Auto-Assign button
3. Review the recommended crew member and their match score
4. Click Assign to confirm, or choose a different crew member from the list

Ranked Suggestions (Pro+)

During job creation, click the Suggest best crew member button in the assignment section. Person Trail runs the full algorithm and pre-selects the top-ranked crew member. You can change the selection before saving the job.

This lets you get algorithm-powered suggestions before the job even exists -- no need to create the job first and then come back to assign it.

Per-Phase Auto-Suggest (Pro+)

When multi-phase jobs are enabled, click the Auto-suggest button (lightning bolt icon) in the phase editor header. The algorithm ranks all available crew members and distributes them across phases:

• Phase 1 gets the highest-ranked crew member
• Phase 2 gets the second-ranked crew member
• And so on

If you have more phases than available crew members, assignments wrap around. You can manually change any assignment after auto-suggest runs.

Autonomous Scheduling (Trailblazer)

With autonomous scheduling enabled, Person Trail can automatically assign crew members to new jobs based on your organization's historical preferences and patterns. Instead of clicking Auto-Assign for each job, the system handles assignment for you and notifies the selected crew member directly.
